Booking Conditions & Responsibilities
Booking Conditions
- Please provide all the required information in the application form in booking system at the time of booking.
- At the time of booking, valid travel documents (passport) are required, the traveller’s passport should be valid for at least six months after the departure date.
- A minimum of 30% deposit of the total tour price is required at the time of booking; Bookings made 15 days or less prior the departure date, full payment must be made at the time of booking.
- The remaining balance must be paid 15 days prior the departure date. If the balance is not received in full on time, we reserve the rights to cancel the booking and retain all deposits paid. The deposits cannot be transferred to others, and it’s not transferable to another departure date.
- We reserve the rights to accept or reject any booking requests at our sole discretion.
- For solo traveller or group with odd numbers, single supplement surcharge applies, please refer to the price list.
Tour Price Includes
- Hotel accommodation: All rooms are equipped with private bathroom, adult price is based on two adults sharing one room. Child price is based on sharing one room with two adults and no extra bed.
- Transportation: Luxury air-conditioned coach bus (Plus other transportation listed in the itinerary).
- Meals: Meal arrangement as described in itinerary. Please refer to “Tour price explains” in each tour itinerary; Circle tours includes breakfast only)
- Activities: Activity arrangement as described in itinerary. (Please refer to “Tour price explains” to check if entry tickets are included in the tour; Circle tours does not include entry tickets)
- Tour Manager: Professional English speaking Tour Manager’s service.
Tour Price Excludes
- Single Traveller Supplement (Please refer to “Upgrade Options” under the tour description for price).
- Travel insurance fee, passport and visa fees.
- All optional experience or activities that are not included in the itinerary.
- Gratuities for local tour guide, driver and tour manager.
- Additional charges charged to the hotel bill such as mini bar, telephone calls, laundry services etc.
- Any extra costs incurred due to an event of force majeure or circumstances beyond our control, such as workforce strike, traffic delays.
- Any cost that is not listing in “Tour price includes”.
Cancel & Refunds
Cancelling booking under all circumstances, we will impose cancellation charges as follows:
- 30 days or more before departure: Booking can be cancelled without cancellation charges, you can get a full refund of the deposit.
- 16 - 29 days before departure: Departure date can be changed, but the deposit will be forfeited.
- 8 - 15 days before departure: 50% of the total tour price.
- 0 - 7 days before departure: 100% of the total tour price.
Responsibilities
- We organise services from our suppliers including airline, hotels, transport operators, or other travel service companies to provide services for tours operate by us. We do not own or operate any entity, and we have no liability to you and we are not responsible for property loss, injury, death and/or additional costs arise due to natural and man-made disaster, machinery broke down, traffic delay, fire accidents, workforce strike, war, political instability, and change of laws / regulations etc.
- In relation to the services performed by sightseeing transportation and hotel providers, such as airlines, rail, coach & ship cruise companies etc, each of them has its own policies for passenger safety and lost baggage etc. In the event of lost baggage, injury, death and property loss, the service provider’s own terms and conditions applies. We have no liability to you and we shall not be responsible in the absence of our own negligence.
- Under unpredictable event such as adverse weather, workforce strike, typhoon, loss of travel documents, flight delay or cancelled, political coup, force majeure or circumstances beyond our control, we reserve the rights to make necessary amendments to the itinerary, accommodation, transportation or cancelling some activities. We are not responsible and will not pay compensation and there will be no refund. Tour members agree to accept the our decision and tour members will be responsible for extra costs incurred.
- Tour members must always comply with the the local laws and regulations of the countries to visit. Committing any illegal act such as carrying prohibited and uncustomed goods, may result in refusal of entry. Should this happen, we are under no obligation to you and cannot be held responsible for any consequences. There will be no refund of the tour price, and unused services etc. You will be held responsible to pay for additional cost arise, such as transportation and accommodation.
- We (including the coach drivers, tour managers, tour guides etc) shall not be held responsible for any incidents of theft, loss of money, personal belongings and travel documents at any time and at any location during the tour. Tour members should look after their money and possessions. Please always carry valuable belongings & travel documents with you.
Important Notes To Travellers
- Each traveller can only stow one piece of luggage at the baggage compartment in the coach/vehicle (up to 30 kg, with the maximum sum of the baggage’s length, width and depth of 158 cm). The driver reserves the rights to refuse taking more than one luggage; Additional pieces will be accepted only if space is available at an additional charge of €5 per luggage per day. The fee for additional bags is to be paid in cash directly to the driver as a moving fee. Your understanding is greatly appreciated.
- In Europe, tourist coaches are not permitted to stop/park near most of the attractions due to the strict parking regulations. Thus some sights can only be reached on foot; For travellers with physical limitations, he/she will have to stay in the coach and wait for the group to come back; Under this situation, travellers agree to accept this arrangement and no refund / compensations will be arranged; Travellers should consider his/her fitness & health conditions before signing up the tour. When you make a booking with us, it is understood that you have read, agreed to and accepted this term.
- As a gesture of appreciation for the the driver and tour manager’s hard work and service, all travellers are required to pay gratuities €7 per person per day (£7 for Purple Circle Tour), same price for Adults / Child, to comply with the European tipping etiquette.
- Please present Tour Voucher for boarding; We won’t delay departures and no refunds if you miss the coach due to late arrival. In case of emergency, please call the emergency number provided in your tour voucher.
- It is the traveller’s responsibility to check and fulfil the passport, visa, health and immigration requirements applicable to the itinerary. We cannot accept any liability if you are refused entry into any country. It’s the traveller’s responsibility to bear the surcharges, fines or other financial penalty. No refund of the tour price will be made.
- Please avoid carrying valuables or wear expensive jewellery while travelling, always carry valuable belongings and travel documents with you. Travellers should look after their money and possessions. We (including the coach drivers, tour managers, tour guides etc) shall not be held responsible for any incidents of theft and loss during the tour.
- If you need to carry medicines with you while travelling, please check the your destination’s regulations on importing medicines for personal use. Do not carry restricted medication.
- Lunch, dinner and all entry fees are not included. Please refer to “Expense Guide” for more information about the possible additional expenses during the tour. It is recommended to carry some local currency while travelling.
- Travellers must always comply with the the local laws and regulations of the countries to visit. Do not commit any illegal act such as carrying prohibited and uncustomed goods.
- We would offer assistance per traveller’s request to go to / return from the destination on their own, or leave the tour early due to personal reasons or any other reasons. However, we have no liability and are not responsible should the traffic conditions or other factors of any kind disrupt your itinerary, or involve in any loss or extra costs for accommodation.
- To protect the tour’s safety and experience, tour managers (or with the majority of tour member’s agreement), are entitled to travellers whose behaviour is causing / likely to cause danger, distress of others, or affecting the operation of trip. Should this happen, this traveller will be required to leave the tour immediately. We will have no further obligations to this tour member. No refunds of the unused tour will be made.
- In the event of uncontrollable circumstances such as flight delay, vehicle break down (includes traffic jam), adverse weather conditions, workforce strike or accidents that causes delay. We reserve the rights to alter the itinerary or cancelling any activities. Tour members agree to accept our decisions and there will be no compensation and no refunds.
- The itinerary is a guide to which we will attempt to adhere, but it may be necessary to alter the travel plan, accommodation etc as a result of circumstances beyond our control. Travellers agree to accept our decisions.
- For solo travellers who opt for twin-sharing accommodation with another traveller arrange by us, we cannot be held responsible for actions or behaviour of the individual. Should there be any disputes and conflict arise, we would not intervene.
- In relation to the services performed by sightseeing transportation and hotel providers, such as airlines, rail, coach & ship cruise companies etc, each of them has its own policies for passenger safety and lost baggage etc. In the event of lost baggage, injury, death and property loss, the service provider’s own terms and conditions applies. We have no liability to you and we shall not be responsible in the absence of our own negligence.
- We strongly recommend travellers to protect the trip with a comprehensive travel insurance plan to cover for injuries, oversea medical expenses, evacuation, loss of baggage, trip cancellation etc. Please consult your travel agency or your insurance provider for details.
- When the tour group size is small, we reserve the rights to arrange Chinese speaking and Vietnamese speaking customers to take the same coach bus.
- We reserve the rights to take photographs and videos during the operation of any tour. The resulting media can be used in whole or in part for promotional purposes. If travellers prefers that his/her likeness not be used, please notify us prior to scheduled tour.
